Your company's information stays your company's. Here's exactly what Teamward collects, why, and who helps us run the service.
Who we are
Teamward ("Teamward", "we", "us") provides the Teamward team app at teamward.app and work.teamward.app (the "Service"). This policy explains what personal information we collect, how we use it, and the choices you have. It applies to visitors to our website, to the people who sign up a company ("Customers"), and to the staff members a Customer invites ("Users").
When a Customer uses Teamward, the Customer decides what information about its staff goes into the Service and why. For that information, the Customer is responsible for its own privacy obligations to its staff, and we process it on the Customer's behalf and under its instructions, as a service provider. Staff with questions about how their employer uses Teamward should contact their employer first.
Information we collect
Account information. Name, work email address, password (stored only as a secure hash) or passkey, company name, phone number and role.
Content you and your team add. Messages, photos and files, company posts and comments, knowledge base articles and documents, time clock entries, time off requests and balances, HR details your company chooses to record (such as hire date, emergency contacts, documents, licences, write-ups and onboarding tasks), and questions asked to the AI assistant.
Location at clock in and out. When a User clocks in or out, the app records the device's location at that moment so the employer can see where the shift started and ended. Location is not tracked at any other time.
Billing information. Payments are handled by Stripe. We receive the billing name, address, tax ID if provided, plan, and payment status, but never your full card number.
Technical information. Device and browser type, IP address, push notification tokens, sign-in times and basic logs needed to run, secure and fix the Service.
Website enquiries. If you contact us or fill in a form on teamward.app, we keep what you send so we can reply.
How we use information
- To provide the Service: accounts, chat, time clock, time off, knowledge base, HR tools, notifications and the AI assistant.
- To process payments, send invoices and receipts, and manage subscriptions.
- To send service emails, such as invitations, password resets, trial and billing notices, and important changes to the Service.
- To keep the Service secure, prevent abuse and fraud, and troubleshoot problems.
- To understand how the Service is used in aggregate and improve it.
- To meet legal obligations, such as tax and accounting records.
We do not sell personal information, and we do not use Customer content to advertise to anyone.
The AI assistant
When a User asks the AI assistant a question, the question, any photo they attach, and the parts of their company's knowledge base needed to answer are sent to our AI provider (Anthropic) to generate a reply. Our provider does not use this data to train its models. Answers are saved in the User's conversation history inside their company's account.
Where information is stored
Customer data is stored in Canada. Some of our service providers may process information in other countries, including the United States. When that happens, the information is subject to the laws of those countries, and we rely on our contracts with those providers to protect it.
How long we keep information
We keep Customer data for as long as the Customer's account is active. If a subscription is cancelled or not paid, the account is locked and its data is kept for 30 days so the Customer can come back, then deleted, except where we must keep records longer for legal, tax or accounting reasons. Backups are overwritten on a rolling schedule. Customers can delete individual Users and content at any time.
Security
We protect information with encryption in transit, access controls that keep each company's data separate from every other company's, role-based permissions inside each company, and secure sign-in including passkeys. No system is perfectly secure; if we learn of a breach affecting your personal information, we will notify the affected Customer and, where required, individuals and regulators.
Your choices and rights
Depending on where you live, you may have the right to access, correct or delete your personal information, and to withdraw consent. Users can update their own profile in the app. For information your employer controls, contact your employer, who can make changes in Teamward or ask us to help. Customers and website visitors can contact us directly at the address below. We will respond within the time required by applicable law, including Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
Children
Teamward is a business tool and is not intended for anyone under 14. We do not knowingly collect information from children.
Changes to this policy
We may update this policy from time to time. If we make significant changes, we will let Customers know by email or in the app before they take effect. The date at the top shows when it was last updated.
